Expectations in the digital world of technology are higher than ever. Not only do customers expect a new level of service, but employees have certain expectations for the tools they use to get their work done.

Computers, servers, and backups may not seem to be an urgent priority, but the truth is that while you continue to run on outdated equipment, you continue to miss the expectations of customers and employees.

It’s important to stay as current as possible with technology in order to ensure quality service to customers and allow employees to do their jobs using the right tools.

Knowing whether or not your agency is using outdated technology (HINT: 4+ years and older) may not be as obvious to you as it is to others.

If you can answer positively to most of these, then it’s probably time to think about overhauling your agency with some updated technology.

Your agency could use an overhaul if you visit the fax machine every day.

This one can be particularly odd for some, so let me explain. I mean it’s just a fax, how outdated can that be?

That big, noisy machine in the middle of the office is the part I’m talking about. Instead of hassling with that large, clunky machine, other faxing options are available to you that you can manage right from your own computer and appropriate software.

Quick look: Risks of Using Outdated Technology

Your agency could use an overhaul if you do all your work from your desk…and only your desk.

Bear with me on this one. I know, your desk is meant to be a place where you have your computer and all the things you need to get work done, but what if I told you that you could have more flexibility and get work done away from the confinements of your desk?

It’s true! With mobile technology, you can move away from the desk and continue working on a smartphone, tablet, or laptop. This is a great way to stay productive when you’re away from the agency.

Your agency could use an overhaul if your computer is running slower than an out of shape snail.

Okay, this is 2020, not the 2000’s. The days of dial-up and poor connection are over. If your computer is taking forever to load and it hinders your productivity while you wait around watching the computer boot itself up or load a program, it may be time to replace it.

There’s just no place for that kind of burden in your agency. Cost-efficient solutions exist to make sure you don’t have to waste time waiting for your technology to keep up. With updated equipment, the workflow doesn’t have to stall due to technology.

Computers 4+ years and old cost 21 hours of productivity from repairs, updates, maintenance, and security fixes.

Your agency could use an overhaul if you bump into file cabinets daily.

By now, we all know how important it is to reduce our paper consumption, yet so many agencies are using way too much paper each year.

Not only is it problematic for the environment and your budget, but it’s very risky for your information. Relying on cabinets to store paper copies of important and sensitive information is probably not the safest option when it comes to protecting your customer’s private information and your agency’s data.

Your agency could use an overhaul if communication is as inconsistent as your internet connection.

Communication in the workplace is incredibly valuable if you want employees to have clear and accurate instructions or customers who have a good relationship with your agency.

You can retire the snail mail and adopt efficient and quick email and messaging methods of communication.

Inconsistent communication is often the fault of technology that cannot deliver the message you want to send or support the conversation you need to have.

Your agency could use an overhaul if your computer is half the size of your desk.

If you have some heavy, old desktop computer sitting on your desk, it may be time to reevaluate your technology.

You want your agency to be modern and efficient, but those awkward machines take up too much space and often run way too slow. Overhaul your desktop computer with something a little more thin and reliable, while not taking up the majority of your desk space.

Working from a multi-surface interface, made of lighter screens, will not only make your desk look bigger and neater, but will allow you to stay more productive, working from more than one small screen.

Small business owners mentioned that newer PCs allowed them to run 60% more number of applications simultaneously without any degradation in system or application performance as compared to PCs that are 4 years or older.
